Scope

These Terms & Conditions apply to bookings made with Al-Qurtubi Tours unless different or additional conditions are stated in the relevant quotation, itinerary, invoice or booking confirmation.

1. BOOKING PROCEDURES

1.1 Booking requests

Bookings and related requests should be made in writing. An enquiry, proposal or quotation does not constitute a confirmed booking.

1.2 Traveller information

Al-Qurtubi Tours may request personal and travel information necessary to arrange reservations, transportation, accommodation, tickets or other services.

The client is responsible for ensuring that all information provided is complete, accurate and consistent with the traveller’s official documents.

1.3 Advance bookings

Travellers are encouraged to book as early as possible, particularly during busy travel periods, as flights, accommodation, tickets and activities are subject to availability.

Late booking requests may be accepted where possible but cannot be guaranteed.

1.4 Confirmation of services

A booking is considered confirmed once Al-Qurtubi Tours has provided written confirmation and any required payment has been received.

All arrangements remain subject to availability until final confirmation is issued.

2. PAYMENT TERMS

2.1 Deposits and balances

A deposit or advance payment may be required to secure a booking.

The amount, payment schedule and final balance deadline will be communicated in the quotation, invoice or booking confirmation and may vary depending on the services included.

2.2 Payment methods

Available payment methods will be communicated directly to the client and may include bank transfer, cash or other agreed methods.

Where applicable, bank account details will be provided directly by Al-Qurtubi Tours.

2.3 Late or outstanding payments

If a required payment is not received by the agreed deadline, Al-Qurtubi Tours may suspend or cancel the booking or any services that have not yet been secured.

3. CANCELLATIONS, NO-SHOWS & AMENDMENTS

3.1 Cancellations

Cancellation requests must be submitted in writing.

The applicable cancellation conditions will depend on the timing of the cancellation, the services booked and the policies of the relevant suppliers.

3.2 Cancellation charges

Cancellation charges may apply once a booking has been confirmed.

Certain deposits, tickets, accommodation, transportation, activities or other services may be partially or fully non-refundable.

Any specific cancellation terms applicable to a booking will be communicated in the quotation, invoice or booking confirmation.

3.3 Cancellation by Al-Qurtubi Tours

Al-Qurtubi Tours may need to cancel, modify or replace services where circumstances outside its reasonable control prevent the original arrangements from operating as planned.

Where appropriate, Al-Qurtubi Tours will seek to provide a suitable alternative, credit or refund for the affected services, subject to the circumstances and applicable supplier conditions.

3.4 No-shows

Failure to attend or use a confirmed service may be treated as a no-show. In such cases, refunds cannot normally be guaranteed.

3.5 Amendments

Requests to modify a confirmed booking are subject to availability and the conditions of the relevant suppliers.

Additional costs resulting from changes may be passed on to the client and will normally be communicated before the amendment is confirmed.

4. TRAVEL CONDITIONS

4.1 Accommodation and access

Hotel check-in and check-out times, room arrangements, access conditions and other accommodation policies are determined by the individual property and may vary.

Some accommodation or attractions may have restricted vehicle access, and travellers may occasionally be required to walk a short distance.

Additional services such as porterage, early check-in or late check-out are not guaranteed unless specifically confirmed.

4.2 Luggage

Luggage allowances may vary depending on the type of transport, vehicle capacity, airline, fare or supplier involved.

Travellers are responsible for complying with the applicable baggage restrictions and for taking reasonable care of their personal belongings.

Al-Qurtubi Tours cannot accept responsibility for loss, damage or additional costs resulting from baggage restrictions imposed by third-party providers, except where responsibility cannot legally be excluded.

5. INSURANCE & TRAVEL DOCUMENTS

5.1 Travel insurance

Travellers are strongly advised to obtain appropriate travel insurance covering the circumstances relevant to their trip, including medical emergencies, cancellation, delays, lost or damaged baggage and other unexpected events.

Travel insurance is not included unless expressly confirmed in writing.

5.2 Passports, visas and entry requirements

Each traveller is responsible for ensuring that they hold valid passports, visas, permits and any other documents required for the countries included in their journey.

Entry requirements and visa processing times are determined by the relevant authorities and may change without notice.

Al-Qurtubi Tours is not responsible for decisions, delays or refusals made by embassies, consulates, immigration authorities or other government bodies.

Travellers should carefully consider cancellation conditions before making non-refundable travel commitments where a visa or other authorisation is still pending.
